Tawi ERP — Branch Staff User Guide & Training Manual
What this is: everything you do on the Tawi Branch app - the browser version at /branch, added once to your phone home screen (no downloads, always up to date). It walks you through every page in the order it appears in your menu, with step-by-step instructions, so it works as a training manual and a daily reference. Who it is for: Branch Managers, Cashiers and DSA field teams. Each page says who can use it. If a page does not apply to your role it will not appear in your menu. The golden rule: prices are set by Head Office. You sell at the price shown on the screen — you may only raise a price (with the Manager OK), never go below the set minimum.

Why the daily count matters: dealerships run a daily close-of-business (COB) stock take. If today's count is not closed by the cutoff (default 7:30 pm), sales are frozen the next morning until a Branch Manager closes the count. The app tells you when it is due.
0. Getting Started
0.1 Logging in
Open the Tawi Branch app (or the browser link your Manager gave you).
Enter your Email and Password (issued by your Branch Manager or Head Office).
Tap Login.
Login screen
You land on the Dashboard. If you see a red offline banner at the top, sales you make will be queued and upload automatically when your connection returns — tap Retry to reconnect sooner.

0.3 Staying signed in and app updates
You stay signed in automatically — the app refreshes your session in the background.
After 25 minutes of no activity it asks Are you still there? — tap Stay signed in to keep working.
0.4 Installing the app
Install Tawi Branch on your phone for the full offline POS experience — a home-screen icon, no browser chrome, and reliable offline sales.
Android (Chrome): Tap the Install app button on the sign-in screen, or the Install banner at the top of the app. Tap Install on the browser prompt.
iPhone (Safari): Tap the Install app button. Follow the on-screen steps — tap Share, then Add to Home Screen, then Add.
1. Dashboard
Use it for: a quick health check — sales, stock value, banking position, your monthly target, and any alerts that need action.
Open it from the ☰ menu (top-left) → Dashboard.

Ageing Stock (banner)
Stock unsold for 15+ days (notice), 30+ days (warning) or 45+ days (recall-flag). Ask your Manager how to handle it — promote, transfer to a busier branch, or send back to HQ
Start your day here. If you see a red badge or an alert banner, deal with it before serving — it usually means an EOD, stock take, recall or banking entry is waiting.
2. POS Terminal — Selling
Use it for: every counter sale. Who: Branch Manager, Cashier.
POS product grid
Sell to a customer step by step
☰ → POS Terminal.
Find the product: type in the search box, or scroll the grid. Only stock your branch has appears.
Tap the product — it is added to the cart (the Cart button top-right shows the count).
Phones / serialised items: a field asks for the 15-digit IMEI. Scan it with the camera or type it.
Scanning rule: phone boxes show the EAN barcode plus IMEI 1 and IMEI 2. The scanner ignores the EAN (Barcode ignored) and keeps scanning until it reads the 15-digit IMEI — re-aim at the IMEI. If the label is damaged, type the IMEI.
Tap Cart to review.
Cart
Change quantities with the + / − buttons.
Price: the selling price shown is the minimum. You may tap the price and type a higher amount if the Manager authorised it (applies to that sale only). You can never go below the minimum. Commission-only items (e.g. financed/Mkopo phones) have no minimum.
Customer name & phone (optional) — handy for warranty follow-ups.
Payment method: Cash (no code), M-Pesa (enter the full transaction code from the customer's SMS, e.g. SX9…), Bank Transfer (enter the reference), or Airtime for airtime-only sales.
Tap Confirm Sale.
Receipt
A receipt appears — tap Print (Bluetooth printer), Share (WhatsApp the customer) or Close. ⚠️ M-Pesa rule: always confirm the M-Pesa message on the customer's phone before entering the code. Never accept a screenshot as proof. ⚠️ A confirmed sale cannot be undone. Refunds go through your Branch Manager (Head Office processes a void). 📴 Offline? The sale is saved and queued — it uploads automatically. Do not sell it twice.
3. Inventory
Use it for: seeing exactly what stock is in your branch and searching for any item.
☰ → Inventory.
Branch inventory
Each line shows the product and the quantity in your branch. Use the search box to find an item quickly.
The quantity shown is your branch's stock. Stock still on its way is under Upcoming Stock.
4. Upcoming Stock — Receiving from HQ
Use it for: accepting stock Head Office (or another branch) sent you. Stock is not sellable until you confirm receipt.
☰ → Upcoming Stock.
Upcoming stock
You will see each pending transfer with the items and quantities sent.
Tap Confirm Receipt on a transfer.
Check each item:
Non-serialised (chargers, cables): confirm the quantity that arrived.
Serialised (phones): confirm each 15-digit IMEI that arrived (scan or read the list).
Tap Confirm.
The stock now appears under Inventory and is sellable from POS. ⚠️ If anything is missing or damaged, do not force a full receipt — report the shortage so HQ records a variance instead of accepting stock you do not have.
5. Sales
Use it for: your branch's sales history and re-printing a receipt.
☰ → Sales.
Sales history
Use the filters Today · This Week · All.
Each entry shows the receipt number, items, total and payment method.
Tap a sale to see its receipt — then Print or Share.
Customer wants a duplicate receipt? Find the sale under Today and share it again.
6. DSA Sales (Airtime) — Branch Manager only
Use it for: airtime sold by field DSA agents away from the shop. This is not for counter/POS sales. The menu item is hidden for other roles.
DSA sales page
Record what each DSA sold
☰ → DSA Sales (Airtime).
Pick the airtime product and enter the quantity the agent sold.
Enter the Field DSA Name and Phone.
Tap Submit Sales Summary.
Track what each DSA handed back (remittance)
Below the form, Today's DSA Sales & Remittance lists each agent with what they sold vs what they handed back, and a SHORT flag when money is missing.
Find the agent's line.
Tap Record Remittance.
Enter the amount handed back and the method (Cash or M-Pesa) with its reference.
Save.
Why it matters: Head Office compares each DSA's sales to what they remitted. A SHORT flag means the agent has not handed everything back — follow up before end of day.
7. End of Day Recon (EOD)
Use it for: closing your money at close of business — your daily M-Pesa till position and every banking receipt for phone/accessory sales. Who: Branch Manager (Cashiers view).
End of Day Recon
7.1 M-Pesa Position (daily till stock-take)
A daily count of your M-Pesa till — amounts only, no codes:
Field
What it is
Float
Money in the till used to send to subscribers (deposits)
Cash
Cash in the till used to pay subscriber withdrawals
7.2 Banking receipts — one line per receipt
Tap + Add banking receipt line for each banking receipt of the day:
Field
How to fill it
Date
The date on the SMS or the receipt. Banked yesterday but reporting today? Set yesterday's date (up to 7 days back) — it reconciles against that day
Amount
The amount banked
Method & reference
Cash (Agent): the RRN shown on the banking receipt. MPESA: the full M-Pesa code from the SMS (e.g. SX9…)
Bank account
The account the money was banked into. One account on your dealer? It is filled in for you. Several? Pick one on every line — an untagged line cannot be matched to a fund
Add another line for every receipt banked that day (several allowed). When everything is in, tap Submit Report.
⚠️ You cannot submit an empty report — you need at least one banking line or a till amount. 🏦 Bank accounts are named by Head Office. You choose by name (for example "Cost Price", "Profit", "Safaricom Devices") — the account number is never shown on the branch app. Bankings recorded before accounts existed show as Legacy and stay that way; they are never rewritten. ⏪ Forgot yesterday? Never put today's date on an old banking. Backdate each line to its true date (up to 7 days) so it matches the bank statement. Next: HQ reviews each entry by its own date. Approved bankings update your Dashboard Banking Position; a rejection shows a reason — fix it and resubmit.
8. Petty Cash
Use it for: small cash requests (transport, errands, minor purchases).
☰ → Petty Cash.
Petty cash
Enter the Amount (KES) and the Purpose.
Tap Submit Request.
Track it under My Petty Cash Requests — status shows Pending / Approved / Rejected.
Keep the purpose clear (e.g. fare to deliver a phone to HQ) so HQ approves quickly. Petty cash is for small expenses only — larger purchases go through Head Office procurement.
9. Stock Take — the Daily Count
Use it for: recording exactly what is physically in your branch. Dealerships do this every day at close of business. It is also how a new branch's starting stock is onboarded (HQ approves the count and it becomes sellable). Who: Branch Manager starts, adds items and closes the count; Cashiers see it view-only.
Stock Take
Do the daily stock take
☰ → Stock Take. If a count from earlier is still open, the app resumes it (one open take per branch — close it before starting a new one).
Tap New Stock Take (or continue the open one).
Tap Add Item to Count and search for a product — you can count any product, serialised or not.
Enter the actual quantity you counted.
Serialised products: one serial row appears per unit. Tap the 📷 Scan button on a row and scan the 15-digit IMEI (EAN is ignored — re-aim until it reads), or type it if the label is damaged. The field fills and jumps to the next empty row.
Stock take serial entry
If the counted quantity is less than expected, add a Shortage Reason.
When every product is counted, tap Close Stock Take.
🔒 Close only when everything is added — no edits after closing. ✅ The count goes to Head Office. Lines that exactly match the system auto-approve; anything different is reviewed line by line by an Accountant. Approved items become sellable at your branch. ⏰ Freeze rule: if the daily count is not closed by the cutoff (default 7:30 pm), sales freeze the next morning until a Branch Manager completes and closes the count.
10. Stock Recalls
Use it for: moving stock back to Head Office. Two directions:
Stock Recalls
10.1 Send stock back to HQ (my requests)
☰ → Stock Recalls → New Recall Request (Branch Manager).
Add one line per product: choose the product, enter the quantity, pick a reason (Overstock / Defect / Seasonal / Other).
For serialised products, tick the IMEIs being returned.
Tap Send request — HQ approves or rejects each line.
Approved lines: the stock is sent to HQ and shows Sent to HQ — awaiting receipt until HQ records the receipt.
Rejected lines: it stays at your branch.
10.2 Confirm recalls HQ asked for
When HQ asks your branch to return stock it appears under Confirm recalls — HQ asked to return stock, marked Awaiting your confirmation.
Open the recall.
Decide per line: tap Send to HQ (or Confirm — send to HQ for every line) or Reject (it stays at your branch).
Sending the stock is step one: the recall then reads Sent to HQ — awaiting receipt and HQ marks it Received by HQ when the stock arrives. Only pending lines can be decided; the header shows the overall result.
Statuses:Awaiting HQ approval · Awaiting your confirmation · Sent to HQ — awaiting receipt · Received by HQ · Partial return · Rejected.
Confirm or reject recalls promptly — HQ may be waiting on that stock for another branch.
11. Printer
Use it for: printing receipts on a Bluetooth thermal printer.
☰ → Printer (or from a receipt tap Print).
Make sure the printer is charged and switched on and Bluetooth is on.
Pair the printer if it is not connected, then print a test receipt.
Receipt not printing? Check Bluetooth is on and the printer is paired (phone Settings → Bluetooth), then retry. If it still fails, Share the receipt via WhatsApp — customers just need a copy.
12. Settings
☰ → Settings.
Settings

Tap Switch to Dark Mode (or back to Light) — easier on the eyes in low light
Change password
Enter old, then new + confirm → Change Password
Notifications
Use the 🔔 bell at the top: HQ follow-ups, banking approvals/rejections, stock updates, update notices
App updates
The branch app updates itself — you never download or install anything. If the app looks out of date, close it completely and open it again.
13. Logging Out
☰ → Settings → Logout (or ☰ → Logout at the bottom of the menu).
Always log out at the end of your shift or before handing the device to someone else.
14. Best Practices
Sell at the price on the screen — never below it. Only the Manager may authorise a higher price, for that sale only.
M-Pesa = confirm on the customer's phone. Enter the full code from their SMS. Screenshots can be faked.
Receive before you sell — stock under Upcoming Stock is not sellable until you confirm receipt.
One banking line per receipt, dated correctly — even if it means backdating up to 7 days. Never batch two days under one date.
Close the daily stock take every evening — it keeps your till from freezing and your stock records honest.
Record DSA sales as they happen (Manager) and chase remittances the same day — a SHORT flagged today is easy to fix; tomorrow it is a mystery.
Flag shortages the moment you see them — in receipts, stock takes and recalls. The system records variances so nothing is silently lost.
When in doubt, ask your Branch Manager — not a colleague who thinks they know. Wrong entries create work for HQ and can freeze your branch.
15. Troubleshooting
Problem
Solution
Can't log in
Check internet. Still stuck? Ask your Branch Manager to reset the password.
POS shows no products
Pull down to refresh / reopen POS. If still empty, your branch has no sellable stock — check Upcoming Stock or Inventory.
Sale won't go through
Offline? Sales queue automatically. Online? Check you are not below the minimum price.
Phone won't scan
The scanner only reads 15-digit IMEIs — EAN and other barcodes are ignored on purpose. Re-aim at the IMEI, or type it.
EOD rejected
Read the rejection reason from HQ, correct that banking line (often the date or the code) and resubmit.
Till (POS) frozen
Yesterday's stock take was not closed. A Branch Manager must complete and close today's count — it clears automatically.
Banking position shows a difference
A sale has not been banked yet, or an EOD entry is pending or needs re-entry. Go to End of Day Recon and check.
Recall won't send
Recalls are Branch-Manager only, and serialised items need their IMEIs ticked.
Ageing-stock banner
Stock has sat 15+/30+/45+ days. Ask your Manager: promote it, transfer it to a busier branch, or send it back to HQ.
App looks out of date
The branch app updates itself - close it and open it again in the browser. If it still looks stale, sign out and back in.
Printer not working
Bluetooth on? Paired? Charged? Otherwise Share the receipt via WhatsApp.
Can't see a page
Your role decides the menu (see 0.2). Ask your Manager if you think you should have access.
Still stuck? Call your Branch Manager or the Head Office support line. Have the date, time and what you were doing ready — it speeds up help enormously.
